BOMs

The BOMs tab is used by the Purchasing Agent to create Purchase Orders, make BOM requests (Availability, Pricing, Quote), identify line items that have not been included in a PO, Unlock a BOM, and monitor the Activity on a BOM. A BOM displays on the BOMs tab after the Package BOM is locked and a Purchasing Division has been assigned.

 

BOMs

Eligible BOMs

A Package BOM is enabled on the Purchasing > BOMs tab when on the Package’s BOM tab:

  1. A Purchasing Division is assigned.

  2. The Package BOM is Locked.

For planning purposes, Package BOMs that are Unlocked will display as disabled on the Purchasing > BOMs tab.

Project Table

To view a list of BOMs:

  1. Project drop-down - Select the Project.

  2. Division drop-down - Select the Division. A company may have different Divisions for different projects or regions.

     

  3. The Project Table will display.

    1. Project - The Project Name and Number will display.

      1. Green icon - A green check icon will display if all the steps to set up a project for purchasing have been completed.

      2. Yellow icon - A yellow triangle icon will display if setup information is missing. For example, a Project Shipping Address and a Point of Contact is required. Notice that the icon hover tooltip includes a Click Here to Fix link.

    2. Pending BOMs - The Pending BOMs column includes the number of BOMs that have been created for the Project.

    3. Required - The Required column displays the BOM name whose Required Date is furthest in the past from today indicating it is most critical. The BOM name is also a link that will expand the Project and highlight the BOM.

BOM Table

  1. Expand a Project to view the list of BOMs.

     

    1. Note: Each BOM that is light gray and starts with (unlocked) is a Package BOM that has not been locked under Packages BOMs. They display to provide some planning for BOMs that will be available for Purchasing in the future. To filter them out of this view, click unlock under the Show drop-down.

    2. BOMs - Includes the BOM names within the selected Project. Each BOM Name is also a link back to the Package BOM tab back in STRATUS where the user must have a Project Role that gives permission to Packages > Details > Viewer > Bill of Materials to view.

    3. Required - The Required delivery date set when the Order was created.

    4. Actions - The 3-dot link provides the following Actions:

      1. PO - Click PO to create a new Purchase Order (PO) based on this package. See the New Purchase Order section for more information.

      2. Availability - Click Availability to create a new Availability Request based on this package.

      3. Pricing - Click Pricing to create a new Pricing Request based on this package.

      4. Quote - Click Quote to create a new Quote Request based on this package.

      5. Unlock BOM (enabled) - A Package’s BOM in STRATUS must be unlocked if edits need to be made to the BOM. The Unlock BOM command will be enabled when there are no Orders associated with the BOM.

      6. Unlock BOM (disabled) - The Unlock BOM command will be disabled when requests or purchase orders exist for the BOM. Hover over the information icon to display why Unlock BOM is disabled. See the Unlock BOM section for more information.

    5. Line Items - Displays the total number of line items in the BOM.

    6. In PO - Displays the total number of line items that have been included in a Purchase Order (PO) compared to the total number of Line Items in the BOM.

      1. Yellow icon - A Yellow icon indicates that:

        1. Not all Line Items in the BOM have been included in a PO.

        2. No Line Item in a PO for the BOM has been Backordered.

      2. Red icon - A Red icon indicates that:

        1. Line Items in a POfor the BOM have been Backordered and/or

        2. Not all Line Items in the BOM have been included in a PO.

      3. No icon - No icon will display when all Line Items in the BOM have been included in a PO or when the BOM is unlocked.

    7. Purchase Orders - Displays the name of each Purchase Order associated with the BOM. The Purchase Order name includes a link to the Purchasing > POs tab and will select and expand the PO. In this example, SignalR02 was the order name clicked on the BOMs tab.

Properties

The Properties panel displays information about the selected item (row). For a BOM, information includes:

  1. BOM Name - Displays BOM summary information like Created, Created By, Required, Total Items, and Backordered Items.

  2. Activity - Displays activities associated with the BOM which includes the number of each Request type made to suppliers.

  3. BOMs - Name of the selected BOM. The BOM Name is also a link to the Package BOM tab back in STRATUS where the user must have a Project Role that gives permission to Packages > Details > Viewer > Bill of Materials to view.

Unlock BOM

A Delete BOM functionality does not exist. Instead, a BOM can be Unlocked which makes it ineligible for Actions including (PO and Requests like Availability, Pricing, and Quote). In addition, if edits need to be made to a BOM that has POs or Requests, the BOM must be unlocked. The Unlock BOM command will be enabled when there are no Orders or Requests associated with the BOM.

To Unlock a BOM:

  1. Delete all Orders associated with the BOM. See the Delete Order section of the Orders article for more information.

  2. When the BOM has no Orders, click the 3-dot Actions button.

  3. The 3-dot Actions menu will display.

     

    1. Click the Unlock BOM button.

    2. The Package’s BOM will be unlocked. See the Package BOM article for more information.

BOM Line Items

Expand a BOM to display it's non-editable line items. A subtable will display the properties below. The data used for these properties is controlled in the BOM Line Item Overrides settings. See the BOM Line Item Overrides section of the Package BOM article for more information.

Expand a BOM to display its line items:

  1. Needed - The quantity Needed is derived from the Package BOM.

  2. Available -  Displays the supplier’s number of available items after response has been returned from the supplier. 

  3. UoM - The Unit of Measure (UoM) is derived from the Package BOM.

  4. Product Code - The Company Product Code is derived from the model unless it is overridden in the Package BOM. If the Company Product Code is incorrect, click the field link to enter a valid Company Product Code. Click the check to Save or the x to cancel when done.

  5. Description - The Description is derived from the Package BOM.

  6. Manufacturer - The Manufacturer is derived from the Package BOM.

  7. Material - The Material is derived from the Package BOM.

  8. Length - The Length is derived from the Package BOM.

  9. Width- The Width is derived from the Package BOM.

  10. Size - The Size is derived from the Package BOM.

  11. Diameter- The Diameter is derived from the Package BOM.

  12. Allow Alt. - Allow Alt. (Alternates) line items are configured during the Create or Edit PO process. If an alternate product is allowed (checked), the row will display Yes, otherwise it will display No.

  13. Additional Info - Additional Info can be a Manual or Property Override applied to a part template in either in the Package BOM > Property Overrides or under Admin > Company > Part Templates > BOM Line Item Mapping.

BOM Actions

PO - Create Purchase Order

A PO (Purchase Order) is sent to the selected Supplier. The Supplier responds with their current availability, backordered quantities, pricing, and can optionally include Tax, Freight, and Notes. Once received, the Purchasing Agent can accept the contract by responding to the PO. Separate POs can be sent to other suppliers. A PO is directly associated with an existing Package BOM which will display on Purchasing tabs after a Purchasing Division has been assigned and the BOM has been Locked on the Package’s BOM tab.

Create New PO

To Create a New PO:

  1. Click the Purchasing tab.

  2. Click the BOM tab.

  3. Select the Project where the Package BOM was created.

  4. Select the Division (Ex. A department that processes work packages).

  5. A list of available BOM’s will display.

     

  6. Either:

    1. (Prefered) Under a BOM’s Actions column click the 3-dot link to open the Actions menu associated with the BOM.

       

    2. Click the PO button. The New Purchase Order dialog will display. The Project, Division, BOM and BOM Description (if entered), and Required date are already populated. In addition, a unique Purchase Order Number will be pre-populated based on the company Naming Convention. See the Naming Conventions article for more information.

       

    3. Or, click the New button. The New Purchase Order dialog will display. The Project and Division will be pre-populated. In addition, a unique Purchase Order Number will be pre-populated based on the company Naming Convention. See the Naming Conventions article for more information. One or more BOM(s) need to be selected and a Required date needs to be entered. To select multiple BOMs, click the BOM drop-down, press and hold the Ctrl key and then add or remove multiple BOMs.

       

  7. The BOM line items for the selected Package(s) will display in the Items table.

     

    1. Purchase Order Number (Required) - The Purchase Order Number is pre-populated based on the company Naming Convention. See the Naming Conventions article for more information. The Purchase Order Number can be manually overridden but must be unique. This can be done anytime before the Create button is clicked.

    2. Required (Required) - Required indicates when the PO needs to be delivered to the site from the supplier. The Required date for the Purchase Order is derived from the Package’s BOM Required Date. Required must be prior to the Package BOM Required Date and greater or equal to todays date. In this example, the Package’s BOM Required date is 4/21/2021, and the dates beyond are disabled and cannot be selected.

       

      1. In addition, if a Required date in the past displays, it will be highlighted when the Create button is clicked and will need to be changed.

         

    3. Needed - The quantity Needed is derived from the Package BOM.

    4. UoM - The Unit of Measure (UoM) is derived from the Package BOM.

    5. Product Code - The Company Product Code is derived from the model unless it is overridden in the Package BOM. If the Company Product Code is incorrect, click the field link to enter a valid Company Product Code. Click the check to Save or the x to cancel when done.

    6. Description - The Description is derived from the Package BOM.

    7. Manufacturer - The Manufacturer is derived from the Package BOM.

    8. Material - The Material is derived from the Package BOM.

    9. Length - The Length is derived from the Package BOM.

    10. Width - The Width is derived from the Package BOM.

    11. Size - The Size is derived from the Package BOM.

    12. Diameter- The Diameter is derived from the Package BOM.

    13. Additional Info - Additional Info can be a Manual or Property Override applied to a part template in either in the Package BOM > Property Overrides or under Admin > Company > Part Templates > BOM Line Item Mapping.

Select Items to be Included in the Order

For an item to be included in the Purchase Order, it must be selected (checked).

  1. To select line items from the table to be included in the order, you can do the following:

    1. Select All To select all items in the table, click the checkbox in the header above other checkboxes.

    2. Clear SelectionTo uncheck all checked items in the table, click the checkbox in the header above other checkboxes until all checkboxes are unchecked.

    3. Selected Line Items - To select individual items from the table, you can either:

      1. Click the checkbox associated with each line item to be included in the order.

      2. Filter the line items in the table using the Search text box and then click the checkbox associated with each line item to be included in the order.

  2. Selected (checked) items will display under the Purchase Order Number panel.

     

  3. To remove an item from the Purchase Order Number panel, uncheck the item.

  4. To cancel a Purchase Order before the Create button is clicked, click the Cancel button or the X associated with the close window button. The following Confirm Close dialog will display.

     

    1. Go Back to Order - Click the Go Back to Order button to continue working on the PO.

    2. Close Without Saving - Click the Close Without Saving button to return to the BOMs tab.

  5. To add a non-modeled Custom Item to the Order, see the Custom Item to be included in the Order section for more information.

  6. Allow Alternates - To allow alternate products to fulfill a Purchase Order, check the checkbox in the Allow Alt. column associated with the item. To allow alternates for all line items in the order, click the Allow Alt. column header checkbox.

  7. To Create the Order, click the Create button.

Custom Item to be included in the Order

Use the Add a Custom Item option to add items to the order that were not be included in the Package BOM. This might include screws, caulk, solder, sand cloth, or other non-modeled items. Note: It is better to add non-modeled line items to the Package BOM when the BOM is Unlocked. Non-modeled line items added here in the New Purchase Order dialog will not be saved to the Package BOM.

  1. Click the Add a Custom Item button.

     

  2. The New Line Item dialog will display. Enter the information that will be relevant for the branch to fulfill the order request. Highlighted fields are required.

     

    1. Description (Required) – Description or other information about the custom item.

    2. Product Code – The Product Code used for internal inventory. For example:

    3. Manufacturer – Manufacturer of the custom item.

    4. Material – Material of the custom item.

    5. Length – Length of the custom item.

    6. Width – Width of the custom item.

    7. Size – Size of the custom item.

    8. Diameter – Diameter of the custom item.

    9. UOM (Required) - Select the Unit of Measure.

    10. Quantity (Required) - Enter the Quantity needed.

    11. Additional Info - Any additional information.

  3. After each Custom Item is added to the Purchase Order, each item displays checked in the Purchase Order Number panel.

     

  4. To edit the Custom Item, click the 3-dot under Actions, and then click Edit.

     

  5. The Edit Line Item dialog will display. Edit the item as needed.

     

  6. Click the green Check button to save the Custom Item. The Custom Item will initially display in the top row of the Order Name panel.

     

  7. Click the Create button.

    1. The PO has not been sent to the supplier. To send the PO to the supplier, see the POs article.

    2. The PO created now displays on the POs tab. Note that its Status is Unsent.

       

    3. Also, on the BOMs tab under Properties Activity, the Purchase Order column will increment by 1.

BOM Availability - Send Request

An Availability request sends the request to the Supplier supplier. Sending a request from the BOMs tab will include all BOM line items in the request. Note: Alternatively, a PO Availability request can be sent to a supplier which only includes line items selected for the PO. See the POs article for more information. The Supplier will respond with their current availability and backordered quantities. Separate Availability requests can be sent to other suppliers.

To Request Availability:

  1. Click the Availability button.

  2. The New Availability Request dialog will display.

     

  3. Fill out the required information and edit any invalid Product Codes.

    1. Number – The Number is automatically generated to be unique. See the Purchasing Numbering section in the Naming and Numbering (Admin) article for more information.

    2. Description (Optional) – Enter a description for the entire request, if necessary.

    3. Manufacturer Source Type - For each project, the Manufacturer Source Type can be specified under Admin > Company > Projects. The Manufacture Source Type tells the supplier if procurement for a project is:

      • Domestic American

      • Domestic Americas (North and South America)

      • Foreign

      • Unspecified (none selected)

    4. Select Supplier (Required) – Suppliers associated with your company will display.

    5. Select Account (Required) – Accounts associated with your company will display.

      Line Items

    6. Line # - Each row is numbered to help usability, but does not relate to any other data.

    7. Description - The Description is derived from the model unless it is overridden in the Package’s BOM.

    8. Company Product Code - The Company Product Code is derived from the model unless it is overridden in the Package’s BOM. If the Company Product Code is incorrect, click the field link to enter a valid Company Product Code. Click the check to Save or the x to cancel when done.

    9. Supplier Product Match - The Supplier Product Match is not editable and is populated depending on which Supplier is selected above (Selected Supplier). Over time, suppliers match products with contractors' requests. An initial request to a supplier will have no matches. Subsequent requests will have more matches as the supplier cross-references products. The content of the field for each line item can be one of the following:

      1. (no match) - The supplier does not have a matching product.

      2. (no description) - The supplier has a matching product but has not provided STRATUS with a description.

      3. Full Description - The supplier has a matching product and their description is displayed.

    10. UOM - The Unit of Measure (UOM) is derived from the model and is not editable.

    11. QTY - The Quantity (QTY) is derived from the model and can be edited.

    12. Manufacturer - The Manufacturer is derived from the model and can be edited.

    13. Linear Mult. (Multiplier) - The Linear Multiplier applies to the Product Stock Length and to linear items only. It represents the multiplier to be applied to the product stock length dependent upon the Unit of Measure (UOM) and lets the supplier know how to apply Quantity (QTY).

    14. Material - Material is derived from the model and is not editable.

    15. Length (in) - Length is derived from the model and is not editable.

    16. Size - Size is derived from the model and is not editable.

    17. Allow Alt. - Allow Alt. (Alternates) line items are configured during the Create or Edit PO process. If an alternate product is allowed (checked), the row will display Yes, otherwise it will display No.

    18. Additional Info - Additional Info can be a Manual or Property Override applied to a part template in either in the Package BOM > Property Overrides or under Admin > Company > Part Templates > BOM Line Item Mapping.

  4. When done, either click the Save A Draft button or the Send Line Item(s) button to send the request to the selected supplier(s).

  5. After the Send Line Item(s) button is clicked:

    1. The Availability request will be sent to the Supplier.

    2. The Availability request will display on the Requests tab.

       

    3. On the BOMs tab, with the associated BOM selected, the Properties display, and under Activity, the Availability Requests column will increment by 1.

BOM Pricing - Send Request (Ferguson Only)

A Pricing request is only available when the Supplier is Ferguson. Sending a request from the BOMs tab will include all BOM line items in the request. Ferguson responds with their current pricing. Note: Alternatively, a PO Pricing request can be sent to Ferguson which only includes line items selected for the PO. See the POs article for more information.

To Request Pricing:

  1. Click the Request Pricing button.

  2. The New Pricing Request dialog will display.

     

  3. Fill out the required information and edit any invalid Product Codes.

    1. Number – The Number is automatically generated to be unique. See the Purchasing Numbering section in the Naming and Numbering (Admin) article for more information.

    2. Description (Optional) – Enter a description for the entire request, if necessary.

    3. Manufacturer Source Type - For each project, the Manufacturer Source Type can be specified under Admin > Company > Projects. The Manufacture Source Type tells the supplier if procurement for a project is:

      • Domestic American

      • Domestic Americas (North and South America)

      • Foreign

      • Unspecified (none selected)

    4. Select Supplier (Required) – Suppliers associated with your company will display.

    5. Select Account (Required) – Accounts associated with your company will display.

    6. Show Non-Modeled Items Toggle – Click the Show Non-Modeled Items expander to display any Custom Items. Click the Hide Non-Modeled Items expander to collapse. Note: Non-modeled items cannot be sent to the supplier for pricing and availability checks and will not be included in the request.


      Line Items

    7. Description - The Description is derived from the model unless it is overridden in the Package’s BOM.

    8. Company Product Code - The Company Product Code is derived from the model unless it is overridden in the Package’s BOM. If the Company Product Code is incorrect, click the field link to enter a valid Company Product Code. Click the check to Save or the x to cancel when done.

    9. Supplier Product Match - The Supplier Product Match is not editable and is populated depending on which Supplier is selected above (Selected Supplier). Over time, suppliers match products with contractors' requests. An initial request to a supplier will have no matches. Subsequent requests will have more matches as the supplier cross-references products. The content of the field for each line item can be one of the following:

  4. When done, either click the Save A Draft button or the Send Line Item(s) button to send the request to the selected supplier(s).

  5. After the Send Line Item(s) button is clicked, the Order and the BOM on the BOMs tab will update.

BOM Quote - Send Request

A Quote request sends a New Quote Request to a supplier. Sending a request from the BOMs tab will include all BOM line items in the request. Note: Alternatively, a PO Quote request can be sent to a supplier which only includes line items selected for the PO. See the POs article for more information. The Supplier responds with their current availability, backordered quantities, pricing, and can optionally include Tax, Freight, and Notes. Separate Quote requests can be sent to other suppliers.

To Request a Quote:

  1. Click the Quote button.

  2. The New Quote Request dialog will display.

     

  3. Fill out the required information and edit any invalid Product Codes.

    1. Number – The Number is automatically generated to be unique. See the Purchasing Numbering section in the Naming and Numbering (Admin) article for more information.

    2. Description (Optional) – Enter a description for the entire request, if necessary.

    3. Required Date (Required) - The Required Date defaults to the Required Date set on the Create New Order dialog. The “Required Date” indicates when a subsequent Purchase Order would need to be delivered to the site from the supplier. The default Required date for the Quote Request is derived from either the Package’s BOM Required Date or the Required date entered when the Order was created. The Required Date can be overwritten, however, it cannot be changed to be past the Package’s BOM required date. In this example, the Package’s BOM Required date is 3/1/2021, and the dates beyond are disabled and cannot be selected.

       

    4. Manufacturer Source Type - For each project, the Manufacturer Source Type can be specified under Admin > Company > Projects. The Manufacture Source Type tells the supplier if procurement for a project is:

      • Domestic American

      • Domestic Americas (North and South America)

      • Foreign

      • Unspecified (none selected)

    5. Select Supplier (Required) – Suppliers associated with your company will display.

    6. Select Account (Required) – Accounts associated with your company will display.

    7. Notes (Optional) - Add a note about the Quote Request.

    8. Shipping Address (Optional) - Select a shipping address so that the supplier can enter the freight. Select a shipping address. See the Shipping Addresses (Admin) article for more information.

      Line Items

    9. Description - The Description is derived from the model unless it is overridden in the Package’s BOM.

    10. Company Product Code - The Company Product Code is derived from the model unless it is overridden in the Package’s BOM. If the Company Product Code is incorrect, click the field link to enter a valid Company Product Code. Click the check to Save or the x to cancel when done.

    11. Supplier Product Match - The Supplier Product Match is not editable and is populated depending on which Supplier is selected above (Selected Supplier).   4. When done, either click the Save A Draft button or the Send Line Item(s) button to send the request to the selected supplier(s).

  5. After the Send Line Item(s) button is clicked, the Order and the BOM on the BOMs tab will update.

  6. Note: Once a Quote Request is sent, the total number of parts contained in all Quote Requests will update in the Models Viewer and on the Packages Viewer under the Display Modes Purchasing tab. In addition, when a supplier responds to a Quote Request, the Quote Response Received value will change based on the number of items contained in the Quote Request to the supplier.
