Requests

The Requests tab displays Requests (Availability, Pricing, and Quote) and provides the Purchasing Agent with information such as the request status and availability. Actions can be taken on individual requests.

Requests

After a PO has been created on the BOMs tab it displays on the POs tab. From the PO’s tab, the Purchasing Agent can create POs and Requests (Availability, Pricing, and Quote) and send them to suppliers. The Requests tab displays requests and line items status and provides an Actions menu.

The Requests tab displays a list of requests for the selected project and Division and lists the supplier who received the request. A request can be expanded to display the status of each line item.

  1. Project - The Project Name.

    1. Green icon - Indicates that the Project is set up, validated, and able to send a PO to a Supplier.

    2. Yellow icon - Indicates that the Project is not yet set up, validated, or able to send a PO to a Supplier. A hover message similar to the following will display.

       

  2. Pending Requests - The total number of Pending Requests (Availability, Request Pricing, or Request Quote) for each project. Note: POs are displayed on the POs tab.

  3. Required - The Required date displays the “most urgent” or oldest dated Request for the Project. The Request number for this Required date displays and is a link. Click the link to expand the Project and the Request number is automatically highlighted.

     

    1. Request - Displays all of the request numbers for the project. Each Request number includes a link to the Order Details page.

    2. BOMs - Displays the BOM from which the request was made. Each Request name includes a link to the Purchase Order Details page.

    3. Created - The date the order was requested.

    4. Created By - The person who submitted the request.

    5. Actions - The 3-dot link provides the following Actions which are enabled based on the status of the request:

       

      1. PO - Displays the New Purchase Order dialog associated with the selected Request. See the New Order section of the BOMs article for more information.

      2. Request Quote - Displays the New Quote Request dialog for the Order associated with the selected Request. Enabled on Availability and Pricing Requests. See the Action: Send Quote Request to Supplier section of the Purchase Orders article for more information.

      3. Resend - Resend send the request to the supplier. Enabled when the status of the request includes “Problem”.

      4. Delete - Delete the request. Enabled when the request status is Completed.

    6. Line Items - See the Definitions: Line Item Data Table section of the POs article for more information.

    7. Type - Displays the type of request (Purchase Order).

    8. Status - See the Definitions: List of Supplier Status Responses section of the POs article for more information.

    9. Supplier - Displays the name of the Supplier the Purchase Order was sent to.

  4. Expand a Request to display the status of line items included in the Request.

    1. Line # - Each row is numbered to help usability, but does not relate to any other data.

    2. Needed - The quantity Needed is derived from the Package BOM.

    3. Available - Once the Supplier has responded to the Request, the Available column will display either Yes or No. In this case, the supplier has not yet responded to the Availability Request.

      1. Green icon - the Green icon indicates that all items requested are available.

      2. Red icon - The Red icon indicates that not all items are available in stock.

    4. UoM - The Unit of Measure (UoM) is derived from the Package BOM.

    5. Product Code - The Product Code is derived from the Package BOM or overridden when the Request was created.

    6. Description - The Description is derived from the Package BOM.

    7. Manufacturer - The Manufacturer is derived from the Package BOM.

    8. Material - The Material is derived from the Package BOM.

    9. Length - The Length is derived from the Package BOM.

    10. Width- The Width is derived from the Package BOM.

    11. Size - The Size is derived from the Package BOM.

    12. Diameter- The Diameter is derived from the Package BOM.

    13. Allow Alt. - Allow Alt. (Alternates) line items are configured during the Create or Edit Order process. If an alternate product is allowed (checked), the row will display Yes, otherwise it will display No.

    14. Additional Info - Additional Info can be a Manual or Property Override applied to a part template in either the Package BOM > Property Overrides or under Admin > Company > Part Templates > BOM Line Item Mapping.

Response Received from Supplier

Availability Request

Compare Quotes Received

To compare Quotes received from different suppliers:

  1. In the Requests tab, where a Request has:

    1. Type = Quote Request

    2. Status = Response Received

       

  2. Click the Request number link. A Purchasing Details page similar to the following will display.

     

  3. In the Activity panel, check the Compare checkbox associated with the quotes to be compared. The Compare Requests panel will display.

     

    1. In this example, 3 different quotes display.

    2. Click the expander next to individual prices to view line item details like Backordered QTY or Notes.

       

  4. Click the Clear Compared button when done.

Convert Quote Request to a PO (Purchase Order)

The Convert to Purchase Order button will convert an existing Quote Request into a Purchase Order request.

To Convert to Quote Request into a PO Purchase Order request:

  1. In the Requests tab, where a Request has:

    1. Type = Quote Request

    2. Status = Quote Response Received

       

  2. Click the Request number link. A Purchasing Details page similar to the following will display.

     

  3. Click the Convert to Purchase Order button.
     

  4. The Convert to Purchase Order dialog will display.

     

  5. Click the Save A Draft button to save the purchase order. A Purchase Order Activity will be generated for the Order which can be viewed on the Purchase Order Details page.

  6. Edit the Purchase Order - To edit the Purchase Order, click the edit button associated with the Purchase Order Activity.

Delete Request

To Delete a Request:

  1. Click the Request number.

     

  2. The Order Details page will display. Locate the Request (Activity) to be deleted and click the trash can button.
