Documents

Documents and links can be attached to all POs and Requests for the selected Project for all or selected suppliers.

 

New Document

To add a new document:

  1. Under Purchasing > Documents, click New. The Add Document dialog will display and will default to the External Hyperlink Type.

  2. Select Type

    1. External Hyperlink - Use an external hyperlink if your company stores and manages documents on a company server or a third-party storage location. Selecting this option indicates that STRATUS does not need to store the document.

       

      1. URL (Required) - Enter the URL link to the document.

      2. Name (Required) - Enter the document name.

      3. Description - Enter a description of the document. This does not display to the supplier.

      4. Share with - Specify which supplier(s) should receive the document.

        1. All Suppliers - For any supplier, the document will be included in all POs and Requests for the selected Project.

        2. Selected Suppliers - For the selected supplier(s), the document will be included in all POs and Requests for the selected Project.

      5. Click Save when done.

    2. Upload to STRATUS - Select a file to attach to all POs and Requests for the selected Project.

       

      1. Choose File - Select a file. A list of supported file types will display in the dialog.

      2. Name (Required) - Enter the document name.

      3. Description - Enter a description of the document. This does not display to the supplier.

      4. Share with - Specify which supplier(s) should receive the document.

        1. All Suppliers - For any supplier, the document will be included in all POs and Requests for the selected Project.

        2. Selected Suppliers - For the selected supplier(s), the document will be included in all POs and Requests for the selected Project. The Supplier option list will display when checked. Select one or more suppliers.

           

      5. Click Save when done.

Manage Documents

After a document has been created its record will display in the Documents table.

To manage documents:

  1. Click the 3-dot icon under Actions.

     

    1. Delete Document - Deletes the document from the Documents page without any prompt confirmation.

    2. Edit Document - Edit Document opens the Edit Document dialog where all document fields can be edited.

      1. Click Save when done.
